When to Run It

Fund Performance Snapshot

Give me a performance summary of all our funds, size, vintage, TVPI, DPI, net IRR, and how much is called vs deployed.

LP reporting and quarterly close. You need the top-line numbers for every fund in one pass instead of reviewing each fund's dashboard separately.

Run it at each quarter close, or any time an LP asks for an updated snapshot.

Portfolio-Wide KPI Monitoring

Pull the last 8 quarters of ARR, Revenue, and Cash balance for every portfolio company and flag anyone whose revenue declined two quarters in a row.

Catching deterioration before it becomes a surprise on a board call. Instead of opening each company, you get one list of who is trending down.

Run it monthly, or right before partner meetings where portfolio health comes up.

Single-Company Deep Dive

Build me a one-pager on COMPANY, latest ARR/revenue/runway, our ownership and FMV across each fund, the last few company updates, and any open data requests.

Prepping for an IC discussion or a board meeting where you need everything about one company in front of you at once.

Run it 24 to 48 hours before the meeting so you have time to read it, not scramble for it.

Reporting Compliance / Data Collection Tracking

Show me the last 10 data requests submitted for COMPANY, what was in them, and which ones came back blank.

Knowing which companies are responsive to reporting requests and which ones you're chasing.

Run it before a compliance review, or whenever a company's responsiveness becomes a question in an internal conversation.

Ingest Metrics From Unstructured Text

Here's COMPANY’s Q4 update email [paste]. Push it into the Visible AI inbox so to extract the metrics.

Turning a founder's update email into structured metrics without manual data entry.

Run it as soon as a founder update lands in your inbox, so metrics stay current without a backlog.

Capture a Memo or Decision to a Company

Add a note to COMPANY titled 'Q4 board takeaways' with: runway tight at ~13 months, v2 shipped, headcount 64, revisit follow-on in Q2.

Getting board takeaways or decisions written down against the company record immediately, so they are accessible & queryable.

Run it right after a board meeting or a key internal decision, while the details are still fresh.

Audit Your Data Model

List every custom property we track on companies and its type. List all metric definitions and tell me which are company-reported vs calculated by Visible.

Understanding exactly what you're tracking and how, useful when onboarding a new analyst or cleaning up inconsistent data entry across the team.

Run it when standardizing reporting templates, or any time you suspect two people are tracking the same thing two different ways.

Find "Bad" Data

Scan ARR, Revenue, Cash balance, and Cash burn for every portfolio company over the last two years. Flag anything that looks like a data entry error: values that jump or drop more than about 40% quarter over quarter without explanation, figures that are internally inconsistent across metrics, identical values repeated across periods, wrong signs, and currency mismatches. Rank by how likely it is to be an error vs a real event.

Catching data-entry mistakes before they distort a fund performance number or an LP report.

Run it quarterly, ahead of any reporting cycle, so errors get caught before they go external.

Strategic Thesis Combining Visible With Outside Data

Look at COMPANY’s metric history and last few company updates in Visible. Combine that with the current SECTOR funding market and write a one-page thesis for the investment team: where the company stands, the two or three things that matter most given today's market, the key risks, and a recommendation. Cite the market sources.

Getting a first draft of investment thinking that already accounts for current market conditions, instead of starting from a blank page.

Run it ahead of a follow-on decision or an annual portfolio review, when you want market context alongside company data.

Reserves and Follow-On Allocation

For each active company, pull our ownership %, FMV, and multiple per fund, plus their ARR growth and runway. Combine with current market exit and funding conditions and rank where follow-on capital is best deployed, highlighting companies where the market window and our position both argue for doubling down, and where they argue for holding.

Deciding where reserve capital should actually go, based on position and market timing together rather than gut feel.

Run it during reserve planning or annual budget season, when you're allocating limited follow-on dollars across the portfolio.

Sector Concentration and Market Rotation Check

Group the portfolio by sector, sum our FMV per sector per fund, then compare our concentration to where SECTOR and SECTOR VC dollars are actually flowing right now. Where are we over- or under-exposed relative to the market, and what does that imply for new deployment?

Seeing whether your portfolio's sector exposure still matches where capital is actually flowing, before it becomes a strategy conversation forced by an LP question.

Run it once or twice a year, or ahead of a new fund's investment thesis discussion.

When to Build It

Granola Call Notes to Visible Portfolio Notes, Auto-Tagged

Weekly Granola notes to Visible: once a week, look at my Granola notes from the past 7 days. For any meeting that maps to a portfolio company, save a clean summary as a note on that company in Visible. If the meeting covered financials or KPIs, also create a portfolio inbox item with that content so Visible can extract the metrics. Give me a recap of what you filed.

Every portfolio check-in generates a Granola transcript that usually just sits there. This turns each call into a structured, searchable note on the right company automatically.

Build it once you're running regular portfolio check-ins on Granola and want notes to stop depending on someone remembering to write them up.

Weekly Portfolio Health Digest to Slack

Weekly portfolio digest to Slack: every Monday at 8am, pull the portfolio, latest ARR and runway per company, anyone under 12 months of runway, any data quality flags, and which companies submitted or are missing updates in the last week. Write a short digest and post it to the #EXAMPLE Slack channel.

Turns Visible from a place you have to go check into something that pushes signal at you, automatically, every week.

Build it once you have more than a handful of active companies and checking each one individually stops being realistic on a weekly basis.

Board Deck Data Pull

Pre-meeting brief pack: each morning, check my calendar for meetings with portfolio companies. For each one, build a one-pager, latest metrics, our position, recent updates, open asks, and any data flags, and send it to me an hour before the meeting.

Whoever preps the board deck stops hunting through the platform for numbers and starts from a filled-in draft instead.

Build it ahead of a board meeting cycle, especially if deck prep is currently split across multiple people pulling numbers manually.

Covenant or Threshold Breach Alerts

Covenant breach alerts: define these thresholds, runway under 12 months, ARR decline of more than 10% quarter over quarter, or a reporting deadline missed by more than 5 business days. Check portfolio metrics against them on a schedule, and the moment a company crosses one, send a Slack DM to that company's deal lead with the specific breach and the numbers behind it.

Instead of catching a runway or ARR problem at the next scheduled review, the deal lead hears about it the moment it crosses a defined line.

Build it once you have specific thresholds you actually want enforced, runway under a set number of months, an ARR decline, or a missed reporting deadline.

Founder Ask and Follow-Up Tracker

Founder ask tracker: scan my open Visible requests and my Granola call notes from the last 30 days for anything a founder asked for, an intro, hiring help, advice, or similar. Build a running list grouped by partner and by company, and post it to me in Slack so nothing sits unaddressed between check-ins.

Founder asks (intros, hiring help, advice) tend to get mentioned once on a call and then forgotten. This keeps a running list per partner so nothing falls through between check-ins.

Build it if you're finding founders re-asking for the same intro or help weeks after they first mentioned it.

Warm Intro Routing Using Affinity Relationship Data

Warm intro routing: when a portfolio company has a stated need in Visible, a hiring ask, a customer intro, an investor intro, cross-reference that need against our Affinity relationship graph and suggest 2 to 3 specific people we know who could help. Draft a short intro email for the top match and send it to me for review before anything goes out.

Connects what a portfolio company actually needs to who in the firm's network can help, then drafts the outreach instead of leaving the matching to memory.

Build it once Affinity and Visible are both populated enough that cross-referencing them is more reliable than asking around the office.

Cross-Fund Quarterly Reporting Rollup

Draft LP update from fund and portfolio data: draft our quarterly LP update, fund-level performance for each fund, three or four portfolio highlights and any material lowlights, and a short market-context paragraph. Segment by fund since we report to LPs across multiple vehicles. Leave placeholders where I need to add my own commentary.

Firms running multiple funds or SPVs get a first draft of every fund's LP letter in one pass, instead of building each one by hand from scratch.

Build it ahead of quarterly LP reporting once you're managing more than one active fund and rebuilding each letter manually starts costing real time.
