How to Send Portfolio Company Updates to the AI Inbox Using the MCP Server

This article walks through how to use Visible's MCP server to push notes, transcripts, and meeting summaries into your AI Inbox so that metrics are extracted and added to your portfolio companies in Visible.

Written by Nick Kramer

This workflow is especially helpful if you use a call recording tool like Granola, Fireflies, or Otter during portfolio company meetings. Instead of manually copying data points from a meeting summary into Visible, you can ask your AI tool to send the summary directly to your AI Inbox in one step.

Before you start: Make sure you've already connected the Visible MCP server to your AI tool. If you haven't, follow How to set up Visible MCP server first. For Claude and ChatGPT, you will also need a paid plan (Pro or higher) and Admin or Editor permissions in Visible.

The scenario

You just wrapped a check-in with one of your portfolio companies. Your call recorder produced a clean summary that includes the latest revenue figures, headcount, runway, and a few qualitative updates the founder shared. Rather than retyping any of this into Visible, you can ask your AI tool to send the meeting summary to your AI Inbox, where Visible will parse the content and surface the metrics and notes to the right portfolio company.

Step One: Access your meeting summary in your AI tool & send it to the AI Inbox

Once your call recording tool has produced a summary (for example, in Granola), copy the full summary text. If you have your call recording tool connected to your AI tool through an MCP connection (as shown in the example), you can also ask it to pull the meeting directly without copying.

Step Two: Confirm the write action

Your AI tool will ask you to confirm before sending data to Visible. Review the portfolio company name and the content being sent, then approve the action.

Step Three: Review the item in your Visible AI Inbox

Navigate to your AI Inbox in Visible. You'll see the new item appear, attributed to the portfolio company you specified.

Visible will automatically extract metrics, qualitative commentary, and any other structured data from the summary. You can review the extracted fields, make edits if needed, and approve them to push the data to the portfolio company's profile.

Step Four: Approve the extracted data

Once you're happy with what Visible has pulled out, approve the extraction. The metrics and notes will be added to the portfolio company's record, just as they would be if the founder had submitted an update directly.

Example prompts to try

Here are a few ways to use this workflow:

  • "I just finished a call with [Company Name]. Here are my notes: [paste notes]. Please add this to my Visible AI Inbox." -> Note that you can paste the transcript or summary notes or connect your call recording tool to your AI tool via MCP.

  • "Pull the transcript from my [Company Name] meeting in Granola yesterday and send it to my Visible AI Inbox."

A few things to keep in mind

  • Only users with Admin or Editor permissions in Visible can use the MCP server to write data into Visible.

  • When limited permissions are enabled, users with limited company access cannot use the MCP server.

  • Your AI tool will always ask you to confirm before sending data to Visible. Review the company name and content carefully before approving.

  • The AI Inbox will still run its normal metric extraction on the content that is sent, so the cleaner the meeting summary, the better the extraction.
