How to add Watermarks to Files in a Data Room

Sharing a Data Room involves sharing confidential information. Enhance security by adding Watermarks to PDFs within a Data Room.

When sharing a Data Room with investors, you are likely sharing some of the most confidential data and information about your business, so the security of this information is paramount.

Watermarks are useful to deter recipients from sharing documents without your permission, they can add traceability to who the documents were shared with and reinforce the importance of confidentiality of the information when viewing the document.

To add Watermarks to the PDF's in your Data Room, follow the instructions below:


Step One: Go to the Data Rooms section found in the navigation menu. Next, click the three dots on the Data room where you want to add Watermarks.


Using the navigation bar on the left side of your screen, click "Data rooms". Then click the three dots next to the Data room that has the PDF's that you'd like to add Watermarks to.

Step Two: From the dropdown, select Settings.


Choose settings from the dropdown menu.


Step Three: Next, click Add watermark.

Towards the bottom of your screen, click Add watermark to view the option to add the copy you want the watermark to state.


Step Four: Choose what copy you want the Watermarks to show and then click Save.

Type the copy you want the Watermark to say & then click Save. Some of the common copy we see founders use include:


Confidential

For Internal Use Only

Property of [Company Name]

Not for Circulation

[Year] [Company Name]


Step Five: Now, all of the PDFs in the Data room will include the Watermark.

Note that if you choose to add any other PDFs to the Data room, the watermark will be added once the document is uploaded. If you decide to change the copy of the Watermark after having previously saved it, the old copy will be removed and be replaced with your email address.
