Visible's AI Inbox makes organizing and extracting data from financials directly to your Visible account easy. Simply send an email or upload a file to Visible and the data will be extracted and mapped to a company's profile.
This feature is especially powerful when used in parallel with the Request feature, ensuring that you as an Investor can collect structured data from portfolio companies in the most founder-friendly ways.
Not only is this a founder-friendly solution, but it will ensure that you always keep your Visible account up-to-date as your single source of truth for portfolio company data. The Visible AI Inbox is only available on certain plans. Contact your Investor Success Manager if you are interested in adding this feature.
Forwarding the email to Visible
To get started, navigate to the Inbox AI section. Please note that only users with Admin or Editor user permissions can access the Inbox feature.
Next, copy the unique address from the top right of your Inbox.
Paste the unique address in any of the recipient fields in your email. This can be in "to", "cc", or "bcc" fields. Click send once you've added the unique address in the appropriate recipient field.
You will soon see the email populate the inbox section of your account. In this view, you can see the name of the email, who forwarded it, the date it was forwarded, what company it has been mapped to (you can update this in the next step), as well as the status (i.e. whether it has been mapped or not).
Assigning the portfolio company
Click the subject line of the email to continue mapping the email. Note that you can also see the number of attachments included in the email.
On this page, you will see the full email that was forwarded to Visible on the left hand side of your screen. Visible will automatically map the email to the respective company's profile based on the email address domain and keywords in the email. If necessary, click the company drop-down to reassign the email to the appropriate company. Choose Assign company once done.
Importing content
After assigning the company, Visible AI Inbox will parse the email to extract data from the body of the email and generate a note, the metric data, and files.
Notes AI
Notes AI will generate a summary of the attachments and body of the forwarded email.
You can then make any necessary edits to the Note and have the option to check the box to save the summary as a note in the Notes section of the company profile. If you check this box, the note will be added once you have imported the email.
Metrics
Under the Metric section, you can approve or reject the data that you want to map to the company's profile. Metric data will be mapped to the metrics section of the company's profile upon importing.
To reject an individual metric, click the three dots next to the value select Reject changes.
To Reject all of the vales for a given metric, click the Rejection button near the metric name.
If a specific metric was not added from the AI extraction, you can add the metric, time period and values.
Note that you can edit the data in-line in case there are discrepancies.
Conflict Resolution
When you import metrics extracted from a financial statement, it's possible that the extracted values may differ from data that already exists in Visible for the same metric and period. Conflict resolution gives you an explicit, fast way to decide what gets imported so the correct data is never silently overwritten.
Click the arrow next to the struck through value to see the current value and the source.
To reject all of the conflicting values, select the cancel button near the conflict resolution interface.
Prompt Configuration
For more complex documentation, there is the option to add additional context for the AI extraction. Click Configure Extraction to add additional context.
From this interface, you can change the model being used to extract values, turn on Extended thinking, add additional prompt instructions & view any custom company or metric specific instructions.
Source data
To view the source of the data that the AI extracted, click the three dots next to the specific value & select View source.
This pulls up the file on the left side panel of your screen and identifies the source of the data by highlighting it in a purple bound box.
Files
You can also click View file to bring the File up on the left side panel.
To add the File to the company's profile, ensure that it the box is checked next to it. You can also add a File tag from this view and organize it in the company's File structure.
If you only want to import the file to the company's profile, you can also reject all of the metrics at once by clicking the three dots and selecting Reject all metrics.
Import the content
Once you are finished reviewing the extracted values and are ready to add it to the company's profile, click Import email content to finalize the data import.
Confirm that you would like to import the content in the pop-up and if you'd like to go the company's profile or back to the AI Inbox.
See the extracted metrics on the company view
Once you import the content, you can navigate to the inbox section of the company's profile to see the imported email.
By clicking the name of the forwarded email, you can view the imported inbox item.
If you chose to extract the metric data, you'll see the data updated in the metrics section of the company's profile.
If you chose to extract files, you'll see the files populating the respective folders in the company's files section.

FAQs
Is my data shared with OpenAI? No, data submitted through the OpenAI API that powers Visible AI Inbox is not used to train OpenAI models or improve OpenAI's service offering.
Can I override the date or metric values? Yes, you can do this in the "import data" step by clicking on the metric or date value.
Does Visible AI Inbox parse data from attachments and files? Yes! Reach out to your Investor Success Manager if you'd like to enable parsing data from attachments and files.
Will metrics be auto-created in my Visible account if included in the email but it does not currently exist in my account? No, metrics are not auto-created in your Visible account. The portfolio metric must already exist in your account.
What if the data in the email update is provided in a different granularity than what exists in my account? For example, what if revenue is listed for February in the email but revenue exists as a quarterly metric in my Visible account? Visible AI Inbox will automatically map the data to the granularity of the metrics in your account. If you extract data listed for February and your metric is created quarterly, the Inbox applies metric-aware rollup logic based on the metric's aggregation setting. For sum metrics like revenue, it adds the relevant months together to build the quarter value; for balance metrics like cash, it uses the last value in the period. You don't need to convert the figure to quarter-to-date yourself.
What types of users can use Visible AI Inbox? Only users with Admin or Editor access can see the Inbox and forward emails to it.
